Research from Worldplay has revealed 1 in 5 SME’s are still ‘operating in the dark’ using pen and paper to manage their business, with many struggling to plan for 2017 because they don’t have the tools to monitor company finances and make accurate business projections. Duncan Montgomery, tax partner at UK200Group member firm Whittingham Riddell stated..
“Once a business gets to a certain size, the owners cannot run it manually and the lack of systems improvement costs the business and the owner money and time. Recognising that early and moving on to a better business system that is more efficient and enables owners to make proper decisions based on real-time information, is critical to compete, particularly if your opposition is already there."
At VanCert we speak to lots of businesses who realise that they are overrun with paperwork and need to move to a new system, but are unsure of what type of system they need to solve their problems.
To help here are 5 Top Tips on how to choose the right software solution for your Heating, Plumbing or Property Maintenance business.
1. List your business pains & objectives - What are the key problems in your business that you need the new system to solve?
1. E.g. Reduce Admin time
2. Visibility of Engineers
3. Increase utilisation
4. Automate processes
5. Spend more time on sales & marketing
Research what type of systems are available on the market, and what systems are specifically designed for your Industry.
Before speaking to a software vendor, sign up to newsletters to start to receive marketing communications from those companies. If they are doing their jobs correctly they should be sending you information that will detail how their solution will help you to overcome your business pains. You may also receive special offers / promotions.
Shortlist the top 2 or 3 solutions and invite them to come and present their solution to you and your team.
4. Complete a functionality matrix
You should now have an idea of your requirements, and what is available on the market. If you have more complex requirements, I would recommend working with a software vendor to create a functionality matrix of your requirements vs the functionality of the solution and order it by priority level.
You should be able to tick off all your ‘high priority’ requirements and identify any areas a system doesn’t cover. The software vendor can then work with you to build your total solution.
5. Ask for a customer reference
Make sure that the solution is proven with a similar company to yours (size, needs etc.). A reference should show you how a similar company has truly benefitted from the system and give you peace of mind when making your choice.
