3 key reasons Heating & Property Maintenance Companies decide to change their job management system to produce digital documents and certificates

If you are still using paper documents and certificates, chances are you had one hell of a busy Winter last year.

I have been working with business management software for the last 10 years and the main reason I see that people don’t go ahead with a new system is because they choose to ‘do nothing’, preferring to ‘make do’ with the status quo, reluctant to change in the hope that the problems will go away.

But they don’t. If anything, they get worse. And in business, when new technology offers solutions to these problems, those who resist change get left behind.

To help, here are 3 key reasons that I hear when Heating & Property Maintenance Companies decide to change their job management system to produce digital documents and certificates. I have also included some pointers underneath on how to Identify the Problem and how to Choose the right system.

We are happy to report some new features available on the VanCert system. As always, we are constantly working to improve the system and release more advanced features to benefit our users, helping you to run your business more efficiently and saving you time and money.

Some new features are:

Internal Messaging

When sending messages to your engineers, you will now be able to clearly see which of your engineers have received the message. Engineers are forced to read the message before continuing with their work anyway, but now you will be able to keep track of who has received and read the message in real time.

All organisations need insight into their operations, and the larger the organisation, the more of a challenge it is to keep track of all of the visits taking place in the field, problematic jobs, engineer performance etc.

That's why we're releasing a series of KPI reports (Key Performance Indicators) to add value and insight for our customers, allowing you to analyse your data, act quicker on issues which arise and ultimately boost efficiency and save money.

The first KPI report to become available is the Multiple Visit Report, which is designed to help you to easily identify and deal with problematic jobs which require multiple visits and eat up valuable resources.

Using the search parameters, the report will display properties which have been visited in a set time frame, displaying the properties visited the most at the top.

You will see a breakdown of visit type along with which boiler is at the property, allowing you to quickly identify problematic appliances.

The Oil module is now available on all Android devices. Oftec registered engineers can now create all their domestic oil certification via the VanCert mobile app across all Android and iOS devices.

If you or one of your engineers needs to create Oil Certification, just ensure that oil is activated in your company settings, and on the engineer profile. You’ll need to enter your Oftec registration numbers and then you’re good to go.

Castle Point Heating have now been using VanCert for over 10 months. Here is a short interview with Gas Manager Chris Falkus on the problems they were facing, and how VanCert has enabled them to overcome them.

"We were previously using an old Sharepoint software to manage our operations, and phoning jobs through to Engineers. When a tenant called in, we couldn’t easily find their property and job information.” explained Chris.

“We were also experiencing problems with paperwork, namely the loss of it and paperwork turning up in dog ends. We have to produce document packs for our Housing Association clients, containing Risk Assessment’s, CP12’s, and Boiler Commissioning Checklists etc. and send them off within 7 days, and so if we missed the deadline, a 60 day payment would turn into a 90 day payment.”
